Capture Snagging & Walk-Downs

Inspection, snagging and walk-downs

Getting started

  1. Download from the App Store and complete the short onboarding.
  2. Add your name and company details under Settings — they appear automatically in PDF reports.
  3. Sign in to iCloud (Settings → Apple ID) if you want sync (Pro).
  4. Tap + on the Projects tab to create your first project: number, address, client, inspector, date. Choose Standard or Building mode, add a logo and floor plan, and save.

How-to guides

Register a finding
Open the project → Findings → +. Add title, description and severity 1–5, choose a category, assign an owner and deadline, take before-photos and an optional voice memo. Save — the finding gets a number and a GPS coordinate automatically.
Status & closing with a signature
A finding starts Open. Move it to In progress, then Awaiting verification when the trade reports done. Set Closed, capture a digital signature from the responsible person, and take an after-photo as documentation.
Building mode with RoomPlan
On an iPhone/iPad Pro with LiDAR: create Building → Floor → Room, tap Scan room and walk around — walls, doors and windows are captured automatically. Place findings directly on the plan; area, height and volume are calculated for you.
Generate a PDF report
Open the project → Report tab. Choose a style (Detailed / Compact / Mail-friendly), optionally filter by responsible person, tap Generate to preview, then share via Mail, AirDrop or save as a file.
Backup, restore & archive
Settings → Backup → Export as JSON — one file with projects, findings, photos, signatures and voice memos embedded. Restore later via Settings → Import backup. Right-click a project → Archive to hide finished projects (toggle "Show archived" in Settings to see them again).

FAQ

Where is my data stored?
Locally on your device and in your private iCloud account. We have no servers.
Can I use the app offline?
Yes. Everything works offline; changes sync automatically next time you're online.
Some photos say "Fetching from iCloud…"
On a new device iCloud downloads photos gradually. Use Fetch all photos from iCloud under Settings to force the download.

Capture Log

The project journal for site and office

Your first 5 minutes

  1. Create a project — tap + Project, give it a number (e.g. PRJ-001) and a name.
  2. Add a log entry — tap + in the Timeline, type or tap the microphone to dictate and let AI structure it.
  3. Take site photos — + Photo → Camera or Library, tag with a category so they group automatically.
  4. Record a meeting — + Meeting → microphone → speak. On-device AI generates the summary, decisions and actions.
  5. Share the project — Export → Project Package (.zip). Opens cross-platform on macOS, Windows and Linux.

How-to guides

Record a meeting with AI
Open the project → + Meeting → optionally pick a category → tap the large microphone and speak → tap again to stop. Apple Speech transcribes and Apple Intelligence writes the summary. Review the suggested actions, tick which to import, then Done.
Upload a drawing revision
Drawings → open the drawing → menu → New current revision → pick the new PDF, add a revision label and notes. The previous revision is automatically marked "Outdated" but stays accessible.
Add a payment milestone
Economy → set the Main Contract value → tap + next to Main contract, Variation orders or Extra costs → choose Fixed amount or Percentage → set due date and status. It appears in the cash-flow waterfall and the bottom-line card.
Share as a ZIP package
Toolbar → Export → Project Package (.zip) → Pack project now → Save to disk. The ZIP contains Timeline.pdf, Photos/, Documents/, Drawings/, Meetings/ and a README.
Invite a colleague
Project → Team → Invite → share via email, Messages, Mail or AirDrop → choose their role and per-module permissions (Read or Edit). Changes sync live via CloudKit. Requires Pro; free-tier users can receive shared projects read-only.

Troubleshooting

iCloud sync isn't working

1. Verify iCloud is signed in on all devices with the same Apple ID. 2. iCloud panel → Apps Using iCloud → make sure Capture Log is ON. 3. Settings → Sync Diagnostics for the last sync and any error codes. 4. Settings → Sync now. 5. Force-quit and reopen. Still stuck? Email us the Sync Diagnostics screenshot.

AI meeting summary is empty
Apple Intelligence requires an Apple Silicon Mac (M1+) or a recent iPhone/iPad, with Apple Intelligence enabled and the device language matching the spoken language. Without it, you still get the transcript and a deterministic summary — no third-party AI is ever used.
How do I recover deleted data?
Deletes are immediate and CloudKit-wide. Use Settings → Backup + Restore regularly; if you archived a project as .capturelog.json you can re-import it. Contact us within 24 hours of accidental deletion.

Capture Planning

Project planning, native to Apple

Getting started

  1. Create a project from scratch or from a template (BESS/Battery Storage, EPC substation, Solar park, Software launch).
  2. Add activities in the Grid, indent them into a WBS, and set dependencies — the whole network recalculates automatically.
  3. Open the Gantt to see the critical path; set a baseline once the plan is agreed.
  4. Add contracts and payment milestones under Cashflow, then watch the Control Room for schedule health and funding gaps.

How-to guides

Baselines & delay records for claims
Set a baseline to freeze the agreed plan. When a baseline date later moves, the app asks for the cause (client instruction, design change, weather, permitting, rework, scope/VO…). Excusable vs non-excusable delay is colour-coded. Export the Change & Delay Register (PDF/CSV) as your defensible history for claims/EOT.
Import/export with MS Project (XML)
Import an existing MS Project XML to get going, and export your schedule back to XML, CSV or PDF at any time — so Capture Planning coexists with tools your partners already use. You can also compare two plans side by side.
Reverse planning (backwards from a deadline)
Pick a deliverable and its contract date, and Reverse Planning shows the latest responsible start (ALAP) for every activity. Flip back to "plan forward" with one tap to build float — a safety baseline is taken automatically.
Cash-flow & contracts
Add customer (in) and supplier (out) contracts with payment plans, optionally linked to activities. The monthly cash-flow curve feeds the Control Room as an S-curve that warns where cumulative cash goes negative.
Add dates to Outlook / Apple / Google Calendar
Export milestones and activities as a calendar file (.ics) with reminders — it opens in Outlook, Apple Calendar or Google Calendar.

FAQ

Does it work offline?
Yes — Capture Planning is offline-first. It syncs via your own iCloud (CloudKit) when you're back online, and you can back up and restore a project at any time.
Subscription, trial & restore purchases
Capture Planning is a subscription with a free trial, handled by the App Store. On a new device or after reinstalling, use Restore Purchases to re-activate. Manage or cancel under iOS/macOS Settings → your Apple ID → Subscriptions.
Where is my data?
On your device and in your own iCloud — no third-party server, no tracking.

Capture Economy

Project economy and cash-flow

Getting started

  1. Accept the terms, choose your country (a currency is suggested) and enter your legal + display name.
  2. Pick the start month of your financial year. Optionally seed demo data.
  3. A 30-day Pro trial starts automatically.
  4. Create a customer, then a new invoice — the app assigns a unique number and posts the entries.

How-to guides

From customer to paid invoice
Create a customer (or pick from Contacts) → New invoice → choose currency and lines → Issue (unique number + postings + FX snapshot) → share the PDF (includes a payment QR) → import a bank CSV to match the incoming payment → the invoice is marked paid.
Turn tracked time into an invoice
Start a timer via the app, Siri or Apple Watch (a Live Activity shows it running). Stop it, then bulk-convert all unbilled, billable time on a customer into a draft — review and issue.
File a VAT return
Reports → Period report → Quarter. The app assembles P&L, balance sheet, cash flow, VAT and AR-aging. Export PDF/CSV/XLSX and send directly to your accountant via a pre-filled email.
Generate an investor report
Reports → Investor report. The app produces a snapshot, growth quality, Monte Carlo cash runway and risk overview as a deterministic PDF, ready for a pitch deck.

Common error messages

MessageWhat to do
fxRateRequiredAtIssueEnter the FX rate manually or enable auto-fetch.
alreadyPaidReverse the payment before changing the invoice.
overpaymentNotAllowedRecord the surplus as a separate posting.
unsupportedSchemaBackup is from a newer version — update the app.

Troubleshooting

iCloud sync isn't working
Check your iCloud login, then use Test Connection in settings, and if needed Repair iCloud.
The forecast is different each time
Run the Ledger Integrity Audit — it scans for unbalanced entries, currency mismatches and locked-period breaches.
Receipt OCR shows the wrong amount
OCR is heuristic — always review before saving. You can edit any extracted value.

System requirements: iOS/iPadOS 26.5+, macOS 14+ (Mac Catalyst), watchOS 10+. An iCloud account is only needed for sync and sharing — the app also works 100% locally.

Capture Record

Project records, without a records manager

Not released yet. Capture Record is still in development, so there are no guides here yet. If you would like to hear when it arrives, write to us and say so.

What it will do

  • Documents and drawings in one register, with automatic numbering and revisions that are never overwritten.
  • A full lifecycle from placeholder to as-built, with a guard that refuses to skip a step or edit a released record.
  • Inspections, NCRs and RFIs, with response deadlines that raise an action before they run out.
  • Transmittals that snapshot exactly which documents went out, in which revision, to whom.
  • A handover readiness score calculated continuously, with every gap named by record and step.
  • Download packages your recipients can open in any browser on Windows — no account, no app, no expiry.

StackStore Family

The paperwork that piles up at home

Getting started

  1. Open Stack Store and complete the three onboarding screens.
  2. Tap + to scan your first document — Stack Store creates your first stack with your name as owner.
  3. A "stack" is a collection of documents, like a digital ring binder (e.g. Home, Car, Electronics).
  4. Pro: Settings → Owners → Add owner to attach a family member's submissions to them.

How-to guides

Scan a document
Tap scan on the Dashboard or say "Scan a document with Stack Store". VisionKit finds the edges automatically — take several shots for a multi-page document — then Save. On Mac, use File → Scan from iPhone (Continuity Camera, Pro).
Share a stack with the family (Pro)
Open the stack → Share stack → Share via iCloud (Messages, Mail or AirDrop). Members can scan and submit; submissions land in the Inbox for the owner to Approve or Reject.
Add a warranty & use the Warranty Center
Open a document → Edit → fill in Warranty expiry and Serial number; you'll get a reminder before it lapses. On Mac, the Warranty Center shows Expired 🔴, Expiring soon 🟡 and Missing dates ⚪, and can export an insurance report (Pro).
Find a document
Use the in-app search (title, sender, serial number, owner), or Spotlight from the Home Screen. Siri: "Open my Stack Store inbox", "Show all stacks in Stack Store".

Troubleshooting

My changes don't sync
Check you're signed in to iCloud on all devices, iCloud Drive is on, and Settings → iCloud → Stack Store is enabled. Then restart the app.
Text isn't recognised correctly
Ensure good lighting, avoid shadows and glare, and hold the camera parallel to the paper. Check the correct language is selected under Settings → Language (11 supported).
Continuity Camera doesn't work
iPhone and Mac must use the same Apple ID with Bluetooth and Wi-Fi on. Requires Pro.

Libellus

The notebook for all of life

Your first five minutes

  1. Open the book. It starts on a tab called School — the leather tabs down the side are the parts of your life, and you can rename them or add your own.
  2. Tap the pencil to start a page. Type, dictate, photograph the board, or scan a handout — whichever is quickest right now.
  3. Write a line that starts with a star and it becomes homework with a date. It appears in the note and in the homework list at the same time.
  4. Turn on iCloud, and the same book opens on your iPad and Mac.

How-to guides

Write by hand with Apple Pencil
Pick up the Pencil and write straight onto the page. A dot in the margin becomes a bullet, a circle becomes a tick box, and a star becomes an action you can tick off. "Turn into text" converts your handwriting when you want it typed.
Record a lesson
Open a page and tap record. The recording keeps running when the screen locks, because the phone usually lies in a bag — and a Live Activity on the Lock Screen shows the elapsed time and a Stop button the whole time. Speech recognition runs on the device; no audio leaves the phone. Ask the teacher first: the app asks you to, before it starts.
Subscribe to the school calendar
Find the calendar link in your school system — in Aula it is under Kalender › Kalendersynkronisering — and paste it into Libellus under the sliders button in the calendar. WebUntis, Wilma, itslearning and any other iCal or webcal address work the same way.
Maths, physics and chemistry on the page
Write a sum on a line and the answer appears in the margin. Names carry down the page, so "interest = 0.03" on one line can be used on the next. The formula book solves for whichever letter you leave empty, and it opens at the subject the page belongs to. These tools are part of Pro.
Ask your own notes a question
Search looks across every tab at once — pages, pictures, tables, formulas and homework. Ask a whole question and Libellus answers from what you have written, shows the line it took the answer from, and says plainly when the answer is not in your notes rather than inventing one. It all happens on the device.
Lock a tab
Settings › the tab › Lock. It then opens only with Face ID or Touch ID. The check is done by iOS; Libellus is only told yes or no.
Share a list with the family
A shopping list or a wish list can be shared with the people in your family. The list lives in a shared area of your own iCloud and is visible only to those you invite. Inviting needs Family Pro; joining a list someone else shared is free.

Free and Pro

What is free, and what is Pro?
Free gives you three tabs and ten AI helps a month. Pro removes both limits and adds the maths, physics and chemistry tools, lesson recording, flashcards, test plans and the year book. Pro is a one-time purchase, not a subscription — and Family Pro covers up to six people through Family Sharing.
I already bought Pro for myself and want the family version
Open Settings (the cog, top right) › Libellus Pro. The row reads "Share Pro with your family" and offers the upgrade for the difference in price — you do not pay twice.
Restore a purchase on a new device
Settings › Libellus Pro › Restore purchases. Use the same Apple ID you bought it with.

Troubleshooting

The AI helpers are greyed out
The writing and study helpers use Apple Intelligence, which needs a recent iPhone, iPad or Mac. On older devices the rest of the app works exactly the same, and you can finish that piece of work later on a device that supports it — the book is the same everywhere.
My book does not appear on my other device
Check that both devices are signed in to the same Apple ID and that iCloud Drive is on. Open Settings › your name › iCloud and make sure Libellus is enabled, then restart the app.
Dictation writes the wrong language
Libellus keeps the app's language and your writing language apart on purpose, so you can read the app in one language and write in another. Set the writing language in Settings — it drives dictation, handwriting, text in photos and the study helpers.
