Capture Record
Project records, without a records manager.
Documents, drawings, revisions and approvals in one register — with transmittals, inspections, claims and a handover score that names every gap by its record and its step.
What it is
Most projects do not have a records manager. They have someone who also does records, at the end of a long day. Capture Record is built for that person: it keeps the register honest, refuses to let a step be skipped, and tells you at any moment exactly what is missing before handover.
The register, kept honest
Nothing here stands on its own — a customer's reply, an expiring retention and a failed integrity check all surface in the same action centre.
Records engine
Documents and drawings in one register with automatic numbering you configure per company and per project, duplicates blocked, and revisions that are never overwritten.
A lifecycle that holds
Placeholder, draft, internal review, QC, QA, for approval, approved, released, as-built — with per-document-type workflows and a guard that refuses to skip a step or edit a released record.
Placeholders & requirements
Define what must exist before asking what you have. Imported files are matched back to the placeholder they fulfil.
QA / QC
Inspections with checklists and a QC to QA to approval flow, non-conformances with severity, root cause and corrective action, and RFIs with response deadlines that raise an action before they run out.
Transmittals
Direction, purpose, and a snapshot of exactly which documents went out — number, revision and status at the moment of sending — with the full sent, delivered, received, reviewed, accepted history.
Claims
An evidence timeline merged from what you logged and the messages you linked, notice deadlines that raise a critical action, and evidence discovery across the whole communication register.
Handover readiness
Calculated continuously from missing documents, outstanding approvals, unreleased revisions, missing as-builts, open non-conformances and unmet requirements — with every gap named.
Your own to-do list
Every review and approval waiting for you by name or by role, the documents you promised, the questions to answer and the decisions to make — across every project, grouped by when.
Packages for people not on a Mac
Make a package of the issued documents as a folder with an index, or one self-contained file. The recipient opens it in any browser on Windows, searches the register and downloads — no account, no server, no expiry.
An explainable health score — a list of named deductions, never a mystery number — plus global search, an access matrix enforced in the engines and not just the interface, and optional on-device intelligence.
Not on the App Store yet
Capture Record is still in development.
iOS 17 or newer
iPadOS 17 or newer
macOS 14 or newer
Built so the lowest supported device still runs it: anything from an iPhone XS onwards. Newer capabilities are used where they exist and simply left out where they do not.
